Brokerage and 3PL
A freight desk that quotes, books and chases on its own
Quote requests become priced quotes in minutes. Booked loads are tracked, exceptions are caught early, and carrier invoices are audited against what was agreed.
Representative blueprint. The targets below are design targets we scope and measure against in a Loop Audit. They are not results from a named client.
The inbox is the load board
- Rate requests arrive as messy emails with dimensions in the middle of a paragraph and accessorials implied.
- Reps price from memory, spreadsheets and three portals, and the fastest quote wins.
- Tracking means calling dispatchers and refreshing portals.
- Detention, lumper and layover charges arrive weeks later and nobody remembers what was agreed.
- Customers learn about late loads from the carrier, not from you.
How the loop runs.
7 stages, from the moment work arrives to the moment it is proven done. Each one is observable, testable and can be paused.
Understand the request
Parses origin, destination, equipment, commodity, weight, dimensions, dates and accessorials from emails and attachments, and asks one clear question if something critical is missing.
Price
Combines contract tariffs, recent lane history, spot market feeds and your margin rules into a quote, with the reasoning visible to the rep.
Source capacity
Contacts preferred carriers by API, EDI or email, compares responses and recommends the best option.
Book
Sends tenders, confirms rate agreements, schedules pickup and delivery appointments and creates the load in your TMS.
Track
Reads ELD, telematics and EDI status updates and compares progress to the plan.
Handle exceptions
Detects late or at-risk loads early, drafts customer updates, and proposes recovery options to the rep.
Audit and bill
Matches carrier invoices to the rate confirmation and proof of delivery, disputes unsupported accessorials, and generates the customer invoice.
The hard parts, and how we handle them.
Quotes are commitments
A hard guardrail layer enforces minimum margin, equipment feasibility and lane restrictions before any quote leaves. Outside the guardrails, a rep reviews it.
Messy freight language
Dimensions, hazmat flags and special handling hide in free text and attachments. We extract into a strict schema and validate against physics and regulation, for example weight limits per equipment type.
Carrier communication is multi-channel and slow
The system follows up on its own, tracks who has answered and who is still open, and keeps one thread of truth per load.
Disputes need evidence
Accessorial disputes are assembled with the rate confirmation, timestamps, and proof of delivery, so recovery does not depend on someone’s memory.
What a person always decides
- Margin floors and lane rules enforced outside the model
- First weeks run in suggestion mode: reps send, the system drafts
- Spend and tender limits per customer and per day
- Every outbound message logged to the load record
- Instant handover to a human on any customer escalation

A realistic timeline.
Shadow mode first. Nothing acts on its own until its accuracy has been measured against your team’s own work.
- Weeks 1 to 2Audit of lanes, quote handling, margin rules, current response times and TMS access.
- Weeks 3 to 5Request parsing and pricing suggestions inside the reps’ inbox.
- Weeks 6 to 9Carrier sourcing, booking and tracking with exception alerts.
- Week 10 onwardInvoice audit, dispute packets and customer-facing status updates.
What we design for.
Modeled targets, confirmed or corrected with your own data in a Loop Audit.
- Customer and carrier data segregated per account
- Access logs retained for contract audits
